EXHIBITor Policies
The sales of unofficial items are not welcome at Nishi Fest. Our staff and publisher representatives will walk the exhibit hall periodically throughout the weekend, and should either request any item be removed because of a violation of this policy, such products must be immediately removed from display and sold no further. Exhibitors with larger or repeated violations risk being removed from the event without refund, restricted from future editions of Nishi Fest, and in some cases, criminally fined and prosecuted.

It is the responsibility of every exhibitor to follow this policy, detailed below:
Bootlegs
All merchandise for sale in the exhibit hall must be officially licensed products. You cannot sell unofficial, unlicensed, or bootleg products. This includes but is not limited to:
Blu-rays and DVDs
Posters and Wall Scrolls
Toys and Plush
Replicas and Props
Costumes and Apparel
Jewelry and Accessories
Parody Goods and Apparel
The sale of parody goods and apparel is allowed providing items are actual parody or otherwise transformative. For example, if it is simply a shirt you have made with Dragon Ball art on it, it is not a parody, and it may be considered bootleg merchandise.
Fan Art and Fan Crafts
Fan art and fan crafts are generally not allowed for sale in the exhibit hall and will be considered on a case by case basis.
Doujinshi
The sale of Japanese doujinshi are allowed and do not fall under the bootleg merchandise policy.
Weapons
Prop weapons are allowed at Nishi Fest as long as they’re made of cardboard, foam, or similar light material. Plastic and wooden prop weapons are generally OK but must be reviewed by our security team. Metal weapons, sharp weapons, or blunt weapons, including items like bokken and baseball bats, must be boxed, sealed, and only given to the customer when they plan to leave the premises.
Booth Policies & Information
All banners/displays must be free standing, single-sided and only a few inches deep. Please make sure that the tops of all banners/displays are no more than 8ft tall (from the floor) and no more than 5.5ft wide; please keep in mind that tables are 2.5ft high when measuring your display.
Each booth comes with one 8 foot table and 2 chairs, corner booths will include two 8 foot tables.
All displayed artwork must be kept to a PG-13 rating - except for those applying for the 18+ Ecchi Room.
Booth sharing is not permitted.
Payment Policies
Payments for booth spaces by accepted exhibitors are due upon receipt of acceptance and invoice.
Booths with unpaid balances will be released back to exhibitors on the wait list.
There are no refunds on payments made for booths within 30 days of an event.
Violation of exhibitor policies may result in denial/ejection from the event with no refund and denial from all future Nishi events
